Identify whose term calendar you are using
The UK does not have one term calendar that replaces every school’s dates. English local authorities, colleges, independent schools and language schools can use different calendars, and a school can adjust training or activity days. Use the receiving school’s current academic-year calendar first, then use the UK Government page to locate relevant local term and holiday information.
- Record the UK nation or region, local authority and school name.
- Ask the school for a written calendar covering term start, half-term, term end and staff-training days.
- Keep the calendar version and received date in the same folder.
Calculate an actual placement window, not only calendar weeks
‘Term-time entry possible’ does not mean that any date can be a start date. Ask about new-student arrival, placement testing, curriculum handover, assessment weeks, school trips and end-of-term activities. Then calculate complete teaching weeks from the student’s actual arrival and departure dates; a calendar week is not necessarily an accessible teaching week.
Check holiday mismatch across housing, guardianship and transfers
When school closes, a host family, residence, guardianship provider or airport transfer may not operate on the same timetable. Confirm whether holiday housing is included, whether meals change, who is responsible for a minor, move-out or extension dates, and the route to and from the airport. Put the conditions into a quote or confirmation email rather than relying on a verbal answer.
Leave room in the application window for immigration and reversible changes
School admission, course payment, housing and visa or entry preparation take different amounts of time. Confirm the school’s latest application date, deposit and refund rules, and whether payment secures the place, then return to the official UK page for the route that matches the individual passport and course. Arrange flights only with an acceptable visa and change-risk position.
