Make a card showing who is responsible when
List the responsible adult, contact and escalation order for class, lunch, dismissal, activity meeting points, evening residence and weekends. For example, if a student feels ill at school, identify who observes, who contacts family and who decides on care—do not simply write that the school will look after them.
Design a check-in routine that can actually happen
Agree fixed contact windows that do not interrupt study, such as after arriving at housing, once midweek and after an activity day. If no reply arrives, family should contact the accommodation lead, then programme emergency number, then local emergency service in that order—not circulate private details across every group.
Make medical, allergy and prescription information handover-ready
Record allergens, medicine generic name, dosage, prior reactions, insurance and parent-authorised contacts in English or the destination's required language. Keep medicine in original packaging; the school needs care-relevant information, not a complete medical history.
Rehearse a lost-contact or changed-meeting response
Before departure, have the student state the housing address, school name, emergency number and meeting rule. For delay, changed activity point or a flat phone, the first action is to stay somewhere safe with staff and use the saved formal contact.
